Ordering

Equipment and home modifications are ordered and supplied in multiple ways. This depends on the item or home modification type and which organisation the prescriber is from. All equipment and home modification requests must be documented either online or via a paper prescription  form.

DES Online Equipment Catalogue

DES Online Equipment Catalogue

Domiciliary Equipment Service (DES) maintains an online catalogue displaying equipment which is readily available in the warehouse  for supply. It is important to note that list of items displayed on the the catalogue is  not an exhaustive list of what is available through DES. The online catalogue has a publically accessible option and can be browsed by any user via DES External Online Equipment Catalogue.

There is also a restricted access DES Internal Online Equipment Catalogue which is only accessible to staff from the Department for Communities and Social Inclusion (DCSI). Access via this domain has online ordering and collection functions for use by these prescribers. Items requiring any modification beyond normal adjustments to suit an individual cannot be ordered online. These items can be ordered separately using a paper prescription form.

DES may supply a substitute item in the instance that the exact item is unavailable. The substitute supplied may differ slightly to the item pictured on the catalogue, however will have no impact on the intended purpose of the product. If the only item available is significantly different, then a DES staff member will contact the prescriber to confirm suitability.

Equipment needs to be ordered using a paper prescription form by any DCSI prescriber ordering items not available on the catalogue, or requesting significant adjustments of those items and all non-DCSI prescribers.

Home Modifications need to be ordered using a paper prescription form.

Additional specifications may be required for more complex prescriptions, provided to DES using the relevant specification forms in addition to a prescription form. This enables DES ensure the appropriate item is provided meeting individual needs.

Approved prescription forms can be faxed to DES on 1300 295 839 or emailed to des.frontdesk@sa.gov.au.

DES has undertaken a series of procurement projects with stakeholders which have resulted in two supply panels covering all types of wheelchairs as well as a range of commonly supplied items. The selected items have undergone a rigorous evaluation process and should be ordered where available. Availability of these items may vary, resulting in the provision of a suitable substitute for that product, based on what is available in the DES Warehouse.

Where required to meet specific clinical needs, DES will purchase items off the supply panels with the appropriate approvals.

Purchasing outside of the contracted range

It is intended that the equipment available through the contracted model is used as the first preference when selecting equipment. However, it is recognised that there may be times where these items do not meet an individual's needs. In these circumstances, items outside of the contracted range can be purchased.

Any purchases outside of the contracted range are reported, and information collected so as to understand how the range can be improved in the future. Seated mobility items (wheelchairs and scooters) must be recorded on a form by the prescribing therapist, and further delegate approval gained for Equipment Program purchases.

Allied Health Professionals from Disability and Domiciliary Care Services and Novita Children's Services have access to on-site imprest stores at a number of sites which hold a small range of equipment types that are frequently supplied.

Forms to document supply of these items can be found within the imprest and must be completed to record the provision of the equipment.

Equipment supplied to individuals from DES is provided through a rental model, where the service funds the ongoing supply of the item(s) until the person no longer needs it. DES therefore tracks these items and manages any repairs, maintenance and collections required.

Some smaller equipment items and all home modifications are considered to be consumable and become the responsibility of the person to care for and maintain once supplied.

When an item is provided by DES, there are terms and conditions placed on the provision of items to ensure they are looked after and to keep people safe.
